Why it mattersA clear, numbered quote with your details and terms is quicker to accept and easier to track.

Steps

  1. Choose Business profile and fill in your business name, registration numbers, licence, contact and payment details, quote numbering and usual terms, then Save.
  2. Open the estimate and choose Convert to quote. Enter the client, choose the detail they see, then Make the quote.
  3. In Quote details, check the scope, what is included and not included, the payment schedule and the terms. Preview the client’s view shows exactly what they see.
  4. Choose Export, then Quote (PDF) for the client, or Estimate (PDF) for your own cost breakdown with the margins.
  5. When you send it, set the status to Sent; later Accepted, Declined or Expired. Each status keeps its date.
  6. If the design changes, the quote says the model has changed and lists what. Bring the changes into a New revision (rev B) and send that.

Tips

  • A quote never shows your costs, hours, contingency or margin: they are spread into the prices.
  • Design options can go on the quote as optional extras with their prices: open Options and choose Offer as an optional extra.
  • Your logo prints on the quote when your plan includes a logo (Pro and Team).

Common mistakes

  • Leaving prices from the price book unchecked: the quote is yours, so check every line you have not priced yourself.
  • Changing a sent quote instead of making a revision: the client’s copy and yours would no longer match.
Check yourself

Your client accepted rev A, then asked for a bigger TV. What do you send?
